The Senior Administrator is responsible for managing the day-to-day operational, administrative, and fiscal activities of the office. These responsibilities may include administrative assistance, purchasing, fleet management, and facilities management. In addition, you will plan and develop systems and procedures to improve the operating quality and efficiency of the office. With limited supervision from the office manager, you will regularly exercise independent judgment in administration duties of a confidential nature and perform more responsible department level administrative functions.
Essential Functions and Duties:
Provide Human Resources support for the office by serving as the liaison with the corporate office and the St. Louis office (Corporate Services Representative – CSR).
Ensure routine company administrative policies are followed by office personnel such as timesheets, expense reports, purchasing, etc.
Evaluate department administrative processes. Recommend and coordinate needed changes based on process analysis.
Oversee use of office facilities and equipment and make requests for additional equipment as needed.
Manage invoicing and financial records for the office. Responsible for invoicing, review of aged WIP, accounts payable, receivables, and collections.
Secure and oversee vendors for building maintenance. Communicate issues with office manager and corporate facilities manager.
Develop an understanding of project-related risk. Be familiar with project liability and company risk policies.
Participate in safety leadership efforts for the office. Responsible for creating and modeling a safe work environment.
Engage in business community through civic and/or professional organization involvement for the purpose of improving client relationships.
Communicate and team with other supervisors and managers on assignments and/or tasks.
Regularly communicate with the Office Manager to provide updates on building, administrative and financial activities.
Manage records management to maintain compliance with Terracon policies.
- Bachelor’s degree and 10 years related experience or, in lieu of Bachelor’s degree, 14 years in related experience. AEC experience preferred.
