Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of Neurology. The position is located at 4488 Forest Park. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: This position works closely with the Dominantly Inherited Alzheimer Network - Observational (DIAN-Obs) Study Executive Director, Associate Director, and Administrative Core in managing pre- & post-award activities and data, specimen, and publication review requests for DIAN, an international, natural history, observation research program with twenty-four performance sites in seven countries funded by the National Institute of Aging (NIA) and budget of > $30 million, including thirteen subcontracts. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Financial Management * Prepare, monitor, analyze, manage, and report overall grant and individual Core/Project budgets. * Responsible for the accurate preparation of financial reports, proposal budgets, budget justifications, and financial forecasts. * Institute and oversee monthly review of each Core/Project fund accounting to verify that funds are encumbered appropriately and anticipate/recommend actions in the case of budget shortfalls or large unencumbered balances. * Review and assist in salary sourcing for grant supported faculty and staff. * In collaboration with the department’s Business office, works with OSRS to initiate and oversee execution of multiple subawards, both fixed fee and cost reimbursable. * Oversee processing of vendor payments, grant invoices, and check requests for research expenses. * Attends training sessions/seminars related to position. 2. Preparation and submission of grant proposals * Coordinate and prepare grant submissions, including progress reports, renewals, and supplements. * In collaboration with the department’s Business office, responsible for ASSIST, eRA Commons, and other related grant submission platforms, preparation, completion, and routing. * Acts as a liaison for the DIAN-Obs Administrative Core and Core leaders, respective non-Neurology department financial coordinators, and grant funding agencies. * Assures adherence to NIH Grants Management, regulatory compliance, and Washington University accounting guidelines. 3. Management of data and specimen requests * Manage all DIAN-Obs study data and specimen requests, tracking requests through intake, approval/disapproval decision, renewal, and discontinuation. * Facilitate and organize the intake of both internal and external data and specimen requests. * Prepare and organize requests for Associate Director and Steering Committee review. * Work directly with requesting investigator, contracts office, Office of Technology Management (Material Transfer Agreements) and Associate Director to ensure timely and compliant completion of all requests. * Contact any individual or entity who has requested tissue or data at a minimum of annually to track publications/research funding related to DIAN-Obs contributions and prepare this information for inclusion in progress reports and grant submissions. 4. Management of publication requests * Facilitate and organize the intake of internal and external publication requests. * Prepare requests for Associate Director and Core Leaders review. * Communicate and follow up with reviewers to ensure timely completion of all received requests. * Intake, organize, and archive received research and medical literature. * Act as the primary point of contact for all DIAN-Obs study publication requests. * Ensures DIAN-Obs publications comply with NIH Public Access Policies by informing and assisting authors. * Prepares publication lists for progress reports and grant submissions, verifies that all publications are compliant with NIH Public Access Policies, and follows-up with non-compliant authors to insure they comply. 5. Other duties as assigned * Assists with special projects of varying complexity, recurrence, and duration. Required Qualifications Bachelor’s degree in business administration or related subject with five years related experience, or equivalent combination of education and experience totaling nine years. Preferred Qualifications * Knowledge of ASSIST, AIS, HRMS, Cognos, Adobe Acrobat, Microsoft Office, PC, RMS, SUBS, agency guidelines, etc. * Working knowledge of standard accounting procedures and ability to utilize computerized accounting systems. * Effective verbal, written, and interpersonal communication skills. * Able to work independently and as part of a team. * Demonstrated analytic skills. Salary Range The hiring range for this position is $47,986 - $61,194 annually.
