Kforce Legal Administrative Assistant in St. Louis, Missouri

Kforce has a client that is seeking a Legal Administrative Assistant in St. Louis, MO.Responsibilities:

  • Assemble and analyze information, prepare and notarize documents, prepare reports, correspondence, and memorandum under the guidance of attorneys and paralegals

  • Establish and maintain trademark departmental records in corporate trademark database (eFiLiA), track and manage information and records of importance, including monitoring a centralized MS Outlook email in-box, reviewing daily to determine activities required, and alerting attorney and paralegals

  • Assist in meeting planning and preparation work needed, i.e., drafting agendas and broader communications, coordinating meeting logistics, and taking meeting notes

  • Process outside counsel and vendor invoices facilitating review and payment of invoices; investigate and respond to outside counsel and vendor payment questions; manage business travel arrangements; and process expense reports

  • Screen/redirect calls, take messages, handle mail, respond to inquiries, coordinates activities across departments and follows up to ensure that request are timely completed

  • Interact with other administrative assistants to share and coordinate work, including ordering of supplies

  • Perform additional tasks and responsibilities as required

  • High School diploma with a minimum of 4 years of relevant experience

  • Proficiency in PC applications such as Microsoft Office applications (Word, Excel, PowerPoint, SharePoint, and Teams) and Adobe Acrobat

  • Ability to manage multiple tasks at the same time and prioritize activities and duties as necessary

  • Public Notary Preferred

  • Familiarity with intellectual property (patents, trademarks and copyrights) and related docketing

  • Experience with legal billing system and document and contract management system
