Washington University of St. Louis Executive Secretary - Ophthalmology Clinical Practice - 51259 in St. Louis, Missouri

Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of Ophthalmology. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: This position provides administrative/secretarial support to a position, such as Assistant Dean or Associate Dean. Responds to questions/inquiries according to pre-established policy and procedure. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Coordinates programs, such as lecture series, campus tours, retreats, special fairs, etc. 2. Maintains physicians’ personal schedules, lecture and meeting schedules, ROP schedules and on-call schedules for the department. 3. Maintains confidential administrative and correspondence files. 4. Prepares correspondence, material for meetings and presentations, takes minutes and transcribes material as requested. 5. Coordinates travel arrangements including lodging, visas, passports, expense reports, reimbursements and honoraria. 6. Answers phone, takes messages and screens calls providing information in accordance with organizational policy. 7. Replies to mail by drafting memos, letters, correspondence, etc. 8. Manages reference databases. 9. Assists with publication preparation and research, including obtaining requested medical information, manuscript submissions and reference management. Other Functions: 1. Assists with preparation and presentation of grants, reports, abstracts, and clinical forms. 2. Assists secretarial staff during vacations/illnesses. Required Qualifications * Hgh school diploma or equivalent high school certification with two years of college or secretarial training. * Three to five years of secretarial experience. Preferred Qualifications * Working knowledge of general office equipment. * Effective verbal, written and interpersonal communication skills that require dealing with a diverse population. * Effective organizational skills and ability to prioritize work load. * Ability to help foster our service culture of positivity and inclusion by maintaining a positive attitude with co-workers and excellent customer service. Salary Range The hiring range for this position is $19.18 - $24.47 per hour.
