Essential Functions

POSITION SUMMARY:

The Program Coordinator works closely with CEL leadership to provide the administrative support necessary for department and program operations, coordinates communication efforts, and manages the execution of key events as needed, collaborating with student groups and teams. Key to this position is excellent relations with students, external clients/partners, vendors, WU staff and faculty. Requires strong administrative, interpersonal, organizational and project management skills.

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Office Administration and Department Communications

  • Serve as lead for management of department calendar, providing scheduling support for key meetings, events, and classes, including responsibility of all related logistical needs
  • Serve as the point of contact for all communications/messaging related matters including marketing, advertising and related correspondence for events, working closely with Olin’s Marketing and Communications team as needed
  • Lead Center-wide communications for office to ensure all messaging is consistent; collaborate with Olin’s Marketing and Communications team as needed in ensuring maintenance of online presence.
  • Provide logistical support for travel processes and procedures for Program Managers, including coordination with outside vendors/travel agents, etc.
  • Oversee the design, implementation and management of Center data dashboard to track data collection efforts for both internal (student) and external (client) stakeholders
  • Prepare and assist in the analysis of data and prepare related reports on student and client participation across all CEL programs
  • Build and maintain comprehensive library of completed program and student project files, working closely with Program Managers.
  • Collaborate with Olin’s accounting services to monitor Center budget, ensure timely processing of procard and expense reports for CEL office
  • Coordinate training, scheduling and provide direction for student worker(s), temp staff as needed

2. Event Management

  • Serve as a key member of planning and execution for CEL program events and course-related group activities, including coordinating vendors, setup and BEOs
  • Work with senior department staff, faculty/program directors and business development team members to plan and implement client and partner events and company visits and generate related correspondence
  • Ensure that CEL has appropriate tools to support service delivery (check-in at events, for appointments, etc.)
  • Negotiate favorable contracts with vendors and oversee set-up and logistics. Work closely with the CEL Director and Associate Director in providing administrated support and coordination
  • Perform other duties as assigned
  • Ability to work outside of normal office hours

Required Qualifications

  • High School degree and 5 years of related experience or Bachelor’s Degree and 1 year of related experience
  • Customer service orientation
  • Excellent oral and written communication skills
  • Ability to work outside of normal office hours

  • Familiarity and experience with Washington University systems and procedures
  • Having managed student workers and working with multiple constituencies

Salary Range

The hiring range for this position is $15.99 - $19.99 per hour.
