Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in Department of Facilities Management. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: Responsible for completing the day-to-day finance and accounting functions associated with the capital project, planning and administration process, managing the capital projects workflow as assigned and ensuring compliance with quality control and process standards. This position will also serve as the financial business partner to project stakeholders by participating in regular project review and forecast development meetings. The position will also develop documentation, including project reports for applicable leadership and committee approvals and communicating and coordinating with customers, project stakeholders, and departments to resolve issues related to the capital projects planning and administration process as they arise. This position will support continuous operational workflow by minimizing business disruption whenever possible, provide recommendations for organizational and operational efficiencies related to the administration of capital project activities and ensure all financial aspects of the capital projects planning and administration process are executed with the highest integrity and in compliance with Operations & Facilities Management Department (OFMD) and Washington University School of Medicine standards. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Responsible for completing the day to day finance and accounting functions associated with the capital project planning and administration process including, but not limited to, identifying and establishing project funding sources, approving and tracking progress payments, calculating and billing earned project management fees and completing all necessary reconciliations and closing procedures for completed projects. This position will manage the capital projects workflow as assigned ensuring proper approvals and documentation are obtained. This role will provide all administrative, accounting and finance related support for the capital projects planning and administrative process as assigned. 2. Serve as the financial business partner to project stakeholders by participating in regular project review and forecast development meetings, developing documentation for applicable leadership and committee approvals and communicating and coordinating with customers, project stakeholders, and departments to collectively resolve issues related to the capital projects planning and administration process as they arise. 3. Prepare financial materials for project review meetings and other financial project reports and performance metrics to assist leadership with managing project costs and establishing future revenue planning and other forecasting models for future capital projects. May accumulate and analyze historical data, such as performance experience, for use in developing realistic basis for future planning, estimating and forecasting. 4. Ensure all financial aspects of the capital projects planning and administration process are executed with the highest. This role may identify and resolve issues in collaboration with key business management, and project stakeholders, on issues related to contracts, insurance, bonds, purchasing, and contractor pre-qualifications. 5. Assist in developing, coordinating, and presenting project training classes as it relates to capital project planning and administration, including updating of process documentation, manuals, compliance, audit and annual training. Will assist with ongoing updates, implementation and maintenance of current or new capital project tools and software programs. Train and supervise interns or other department resources. 6. Work with the leadership team to provide recommendations and implementation of organizational and operational efficiencies related to the administration of capital project activities and as well as ensuring standardization of procedures and processes geared to proposing, controlling, and coordinating capital project administration. 7. Perform other finance and accounting related duties as assigned. Required Qualifications Four years of experience in accounting. Preferred Qualifications * Bachelor degree in accounting/finance or business-related field. * Experience in a medical, research, or educational environment. * Four years of experience in project or capital accounting. * Aptitude for patience, professionalism, tactfulness and empathy. * Ability to assess the specific needs of the customer and be able to communicate these to the planning and project teams. * Ability to anticipate issues, think proactively, and use critical thinking in eliciting and interacting with others. * Ability to work independently on complex projects and understand their daily tasks in handling conflict management and negotiation and acts as a liaison between the business units, support teams, leadership, and project stakeholders. * Knowledgeable of project files, processes, and terminology, including user requirements, project scope and objectives, and overall project delivery process. * Understandable of the various contract types (i.e., stipulated sum CM + GMP, T & M for contractors; owner architect/engineer and other consulting agreements; short forms and purchase orders) and provide interpretation as required. Salary Range The hiring range for this position is $47,985 - $61,193 annually.
