Job Type/Schedule This position is full-time and works approximately 40 hours per week. Department Name/Job Location This position is in the Department of Internal Medicine, Division of Cardiology. The position is located at the Northwest Tower. This position is for the Medical School Campus. Essential Functions POSITION SUMMARY: Position coordinates office functions, programs and schedules, provides administrative services, performs specialized/technical duties with minimum supervision, and manages the fellowship program. PRIMARY DUTIES AND RESPONSIBILITIES: 1. Coordinates staff services, interoffice activities, schedules, programs, and related administrative needs. 2. Manages physician daily appointment schedule and calendars, organizes and coordinate meetings. Prepares and submits travel expense reports. 3. Sorts and reviews physician mail and faxes. 4. Maintains licensure, memberships, and curriculum vitae, manages CME requirements and credits. 5. Acts as a liaison between physicians, nurse, patient and other staff. 6. Receives referrals and records, loads outside films to LILA and any other medical records to patient chart for physician review. 7. Administers/prepares reports, minutes, correspondence, lectures and administrative materials required for the direction of the department. 8. Maintains established departmental policies, procedures and objectives, including regulatory records for license, reports, and notifications as necessary. 9. Evaluates and recommends purchasing sources. Assists with telephone problems, works with vendors to establish and verify terms and agreements. 10. Maintains all department keys, locks and mailboxes. Coordinates ordering and distribution of supplies and handles problems concerning material received. 11. Monitors the general maintenance of the building, notifies maintenance of problems, places work orders, and follows-up with housekeeping on the completion of tasks. 12. Develops budget reports, implements financial monitors, cost transfers, and payroll/purchasing processing. 13. Develops bi-weekly staff rotation schedules and writes annual staff evaluations. 14. Attends meetings related to fellowship administration, including meetings with Program Director and Fellowship Faculty. Attends bi-monthly graduate medical education committee meetings. 15. Maintains fellowship files and database. Manages data collection and material preparation to support program meetings, including bi-annual Clinical Competency Committee meetings and annual Program Evaluation Committee meeting. 16. Serves as a back-up for other job functions within the team during peak times, vacations, and illnesses. Other Functions: 1. Assists with visitors and customers questions and needs. 2. Assists with payroll processing, and other clerical functions when needed. Required Qualifications * Equivalent of an associate degree. * Two to four years of experience in administrative support. Preferred Qualifications * Bachelor’s degree. * Experience in university/medical environment. * Effective verbal, written and interpersonal communication skills. * Working knowledge of general office equipment, including word processing, FIS, FOCUS, and similar programs. * Organizational and supervisory skills. Salary Range The hiring range for this position is $19.18 - $24.47 per hour.
