Power Plant Services Administrative Assistant in St. Louis, Missouri

ADMINISTRATIVE ASSISTANT – PROJECT CONTROLS

Job Summary

The administrative assistant will work with PPS’ Project Controls team on ensuring that project expenses, payroll, quotes, and purchase orders are accurate and properly coded within the internal ERP system. This role is vital to our success and growth by expediting objectives and collaborating with all team members to accomplish project and production goals. Strong organization, written and verbal communication skills and an ability to multitask are a must.

Role and Responsibilities:

  • Generate Project Information Sheet for Craft Labor provider, to create Assignment Sheets.

  • Open Sales Order in Epicor.

  • Open Project in Epicor.

  • Generate Daily Timesheet Template for Field Supervisor (OCIC job) or Lead Repair Technician (Repair job).

  • Review all time and expense entries in EPICOR.

  • Generate operation & material lines for all Independent Contractors for work completed the previous week.

  • Generate Weekly Timesheets based on the approved daily time from Cost Estimates to be submitted to Payroll.

  • Generate Craft Labor Provider weekly payroll packets.

  • Generate operation & material lines for Labor Provider for work completed the previous week.

  • Generate Project Daily Cost Estimate and Submit Project Daily Cost Estimates to PC Manager for all projects.

  • Perform an initial review of Craft Labor Provider Invoicing.

  • Perform initial review of Independent and Sub Contractor Invoicing.

  • Once approval received, submit approved invoicing to IDC for payment processing.

  • Review and Maintain Open Quotes, Active Project Job Listing, to be invoiced job listing and invoiced job listing.

  • Follow up on open quote.

  • Follow up on open invoicing.

  • Initial Final Report formatting and review for typographical errors.

  • Actively involved in the Proposal Development of planned and emergent proposals.

  • Generate and process weekly customer billing to PC Manager for review and approval.

Minimum Requirements

  • Proficiency with Microsoft Office suite, specifically Excel, Word, and Outlook.

  • Exceptional organization and attention to details.

  • Understanding of basic accounting principles is preferred.

  • Any combination of the above criteria will also be considered.

Education:

  • High school diploma or equivalent.

  • Associates degree preferred.

  • Combination of education and experience will also be considered.
