Job Description

Requires an understanding of certain areas of law. Working directly with Attorneys and Clients on time-sensitive matters while maintaining strict confidentiality and discretion in all aspects of Client representation. - Assist with case management by maintaining contact with clients; scheduling depositions; preparing summonses and subpoenas; drafting complaints/petitions, preparing and filing discovery requests; preparing responses to discovery requests; generating status reports. - Preparation of transaction documents. - Keeps cases organized by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney. - Supports case preparation by preparing case summaries and materials for mediation; monitoring and obtaining discovery responses; organizing materials for team case review. - Conducts factual legal investigation and research by reviewing, examining, summarizing, analyzing and indexing transcripts of depositions and review of documents. - Enhances trial proceedings by organizing evidence; preparing exhibits; scheduling witnesses; ensuring that witnesses are ready when needed. - Maintains client costs by verifying outstanding balances with attorney, clients, and providers. - Enhance job knowledge by participating in educational opportunities; reading professional publications, etc.Â

Requirements

Essential: - 3 plus years- experience working in the legal industry or equivalent  - 3 plus years- professional qualification skills and abilities - Must be organized, excellent interpersonal, oral and written communication skills - Punctuality and effective time management  - Ability to analyze, prioritize and multi-task under pressure, take initiative and meet deadlines  - High level of efficiency and accuracy in dealing with detailed work and customer service  - Ability to conduct investigative research and produce findings from law research databases (i.e., LexisNexis, Westlaw, etc.) - Computer proficient with Windows OS environment and Microsoft Suite (Excel, Exchange and Outlook, PowerPoint, Word), Adobe Acrobat Pro, Timeslips or other similar billing software.  - Proficient with using advanced software functionality. - Convert, OCR/scan documents into electronic data for formatting and revising  - Knowledge of court filing systems (e.g. PACER, CaseNet) Type, edit and record data for various correspondence (reports, forms, statistical tables, presentations, spreadsheets, etc.) using an array of software programs  - Transcribe digital media/tapes (i.e. memos, letters, deposition summaries, interrogatories, etc.) using transcription software/equipment  - Create merge templates for letters, mailing labels, envelopes, name tags, place cards, and financial correspondence  - Provide Attorneys with clerical support (time entry, transcribe voicemails, typing, data entry, sending emails with attachments, folder labels, printing, copying, and faxing documents)  - Proofread and edit documents for grammar, spelling, punctuation, and consistent formatÂ

 Desirable: - Bachelors degree in legal studies, business or a related area. - Legal Secretary or Paralegal Certificate from an ABA accredited school.Â
