Volvo Group Executive Assistant in Kansas City, Missouri

Purpose/Description

Provides high level administrative support to company executives as well as clerical functions of the business. Work is performed under limited supervision.

Core Responsibilities

  • Provide support to the executive management team

  • Prepares reports by collecting and analyzing information

  • Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications

  • Ensure all duties are completed in an organized, timely manner

  • Receive incoming telephone calls and either direct to proper person, take message, or handle on own

  • Arrange travel, including air, hotel, ground transportation, misc. reservations as required

  • Prepare daily/monthly reports

  • Take customer complaints, type complaint, and forward to appropriate management

  • Work with management in planning and coordinating meetings– both on and off property – and work with hotels, restaurants, and transportation companies

  • Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel

  • Work closely with department managers

  • Maintain DOT files and ensure all drivers compliant

  • Transcribe monthly committee meeting minutes

  • Maintain corporate credit card

  • Approve small invoices relating to operations

  • Work with National Service Manager regarding building maintenance as needed

  • Work with HR Director on Volvo Group Attitude Survey

  • Maintain Arrow organizational chart and corporate employee directory

  • Any other administrative support functions not listed above

Skills & Knowledge (when applicable)

  • PC proficient, Excel and Microsoft Word

  • Good telephone skills

  • Good grammar

  • Knowledge of office equipment

Minimum Education and Experience

  • High School Diploma

  • 5+ years executive assistant experience
