Contract Operations Sr Specialist


The primary responsibilities of this role, Contract Operations Senior Specialist, are to:

  • Assist with establishing the policies, procedures, and practices of the U.S. Contract Management Operations ("CMO") and U.S. Contract Center organization ("CC"), including strategic projects;

  • Be knowledgeable about, and ensure compliance with, company policies and procedures affecting the CMO organization;

  • Collaborate with others in the CMO and CC to manage workload and identify ways to improve workflow, efficiencies and contracting practices;

  • Provide for policy implementation and maintenance, change management and training;

  • Manage, organize, input, and archive completed contracts and related documents from signature through registration by supervising Contract Services Administrators, or those functioning in such capacity;

  • Ensure that all incoming completed contracts and documents are reviewed for accuracy and compliance with legal and other Bayer policy requirements;

  • Ensure CLMS compliance with Finance, Accounting, Auditing, and Compliance requirements;

  • Resolve issues related to the CLMS Pre and Post system, including those raised by requestors and third parties;

  • Generate reports for CMO and Contract Center organizations and certain key users and provide information flow and management;

  • Identify training requirements and needs of the CMO and CC organizations, including providing direction, education, and training to Contract Specialists within the CMO and CC organizations and business units, business clients, end-users, and stakeholders, as required;

  • Serve as a liaison among CMO and CC organizations, IT resources, and Global Contract Center to ensure systems and processes perform as intended to satisfy operation requirements;

  • Interface globally and locally on CLMS system and process enhancements;

  • Assist in the preparation, implementation and upkeep of contract templates, content areas and clauses.

Required Qualifications:

  • At least 15 years of paralegal OR contract experience in combination of work experience and education, including at least eight years of experience in contract administration or similar role involving the administration, maintenance, management, auditing and monitoring of contracts or other commercial legal documents OR Paralegal certificate with at least 12 years of paralegal experience OR Bachelor’s degree;

  • Working knowledge and understanding of contract lifecycle management;

  • Working knowledge of contract management software application and ability to train users on such application as well as trouble shoot issues and identify solutions or engage appropriate internal organizational support to resolve issues;

  • Time management and planning skills to coordinate and prioritize multiple organizational needs and projects simultaneously while adapting to changes in business in a fast-paced environment;

  • Proficient in MS Office (e.g., Word, Excel, PowerPoint);

  • Excellent organizational, follow up, and initiative skills and demonstrated interpersonal skills;

  • Strong verbal and written communication skills at all organizational levels;

  • Strong project management skills and customer support skills;

  • Ability to maintain the confidentiality of sensitive matters, and exercise excellent judgment and discretion based on a knowledge and understanding of department objectives, company policies and procedures, and specific contract terms and conditions;

  • Attention to detail with thorough process orientation skills and demonstrated ability to provide timely and accurate response and feedback;

  • Ability to work under pressure, use initiative, troubleshoot and resolve issues and meet timelines;

  • Organizational, relationship, and communication and influencing skills;

  • Experience in roles with extensive interpersonal interaction, job complexity and coordination.

Preferred Qualifications:

  • Familiarity with contract or document management systems (e.g., CLMS, eFiLiA, Documentum), SharePoint, Adobe Acrobat.
