Olin Corporation is hiring an Administrative Assistant to support the Vice President and Chief Information Officer. The position will be located at the Corporate headquarters in Clayton, Missouri (St. Louis area).

Essential Functions (not all-inclusive):

  • Assists with scheduling and coordinating meetings and events

  • Prepares travel arrangements, including visas and passports, as well as expense reports for both domestic and international travel

  • Responsible for making food, drink and room arrangements for meetings, lunches and special events

  • Provides the highest level of customer service through answering multiple phone lines, screening calls and providing information or directing inquiries to the appropriate person

  • Prepare purchase requisitions as required

  • Consolidates and prepares information and presentations with great attention to detail, accuracy and quality

  • Greets and announces guests and visitors at the office entrance; provides parking validation

  • Collects and distributes mail. Prepares and mails packages via FedEx, UPS, etc.

  • Assists with department mailings – printing, collating, preparing envelopes and labels, etc.

  • Maintains daily and weekly department calendar to arrange meetings (time, location, participants, room setup, etc.) Set up various recurring meetings throughout year

  • Orders and maintains supplies for department including printer cartridges, paper, etc. for all IT office spaces in Clayton

  • Maintains department files and administers the department’s record retention system

  • Manage parking pass distribution for Olin office spaces at 7777 Bonhomme in Clayton

  • Maintains office assignments for IT in Clayton

  • Function as facilities liaison for IT office spaces in Clayton

  • Manages vendor relationships for management of Coffee, Water, and Recycling services for IT office spaces in Clayton

  • Participates in special projects as required

  • Performs other administrative tasks as requested and assigned

  • Works closely with other Administrative Assistants and Paraprofessionals in other departments in accomplishing many of the above responsibilities including covering phones and providing coverage for the office door for guests and deliveries; helps cover vacations and days off for the other Administrative Assistants; does so in a way that fosters teamwork

Position Requirements:

  • High School Diploma required. Associates or Bachelor’s Degree in Business or related field a plus.

  • Minimum 4 years administrative assistant experience required. Experience in IT organization preferred.

  • Demonstrated excellence with Microsoft Office software including Outlook calendar and email, Word, Excel, and PowerPoint required.

  • Knowledge of SAP purchase requisition processing preferred

  • Experience coordinating large events is preferred

  • Must be a self‐starter who can work independently, effectively prioritize and manage workload in a fast paced environment. Must have exceptional follow‐through, be detail oriented and able to multi‐task effectively.

  • Must be well organized and able to work independently on some projects, but also work as a member of a team.

  • Must be able to demonstrate ability to work with and maintain the confidentiality of highly sensitive information

  • Ability to communicate with co‐workers and management within areas of responsibility.

  • Must be approachable with good interpersonal skills and professional presentation.

  • Excellent typing and proofreading skills.

  • Must be able to work occasional overtime
